How we handle and protect your information

Last updated: October 20, 2025

Quick note: We're not big fans of legal jargon either, but this stuff matters. At Krythonverse, we've always believed in transparency - whether it's about sustainable building materials or how we handle your data. We'll keep this as straightforward as possible.

Who We Are

We're Krythonverse Architecture Studio, based in Vancouver, BC. You can find us at 1250 West Pender Street, Suite 402, Vancouver, BC V6E 2S9. Been doing architecture and urban design for years now, and we take protecting your information just as seriously as we take structural integrity in our buildings.

Got questions? Shoot us an email at info@krythonverse.info or call us at (604) 555-0187. We're actual people who'll get back to you.

What Information We Collect

Look, we only collect what we actually need. Here's what that typically includes:

Personal Details

Your name, email address, phone number, mailing address - basically the stuff we need to actually communicate with you about your project or inquiry. If you're filling out our contact form or requesting a consultation, we'll ask for this info.

Project Information

When you're working with us on residential or commercial projects, we'll collect details about your property, site specifications, design preferences, budget considerations - all the nuts and bolts needed to create something amazing for you.

Technical Data

Standard web stuff here - IP addresses, browser type, pages you visit on our site, how long you stick around. We use this to make the website better and figure out what content actually resonates with folks.

Communication Records

Emails, phone call notes, meeting summaries - we keep records of our conversations so we don't lose track of important project details or your specific requests.

How We Use Your Information

We're not selling your data to random third parties or anything sketchy like that. Here's what we actually do with it:

  • Project delivery: Can't design your dream sustainable building without knowing what you want, right?
  • Communication: Keeping you updated on project milestones, permits, design revisions, and all that good stuff
  • Quotes and proposals: Preparing accurate estimates and proposals for your architecture or urban planning needs
  • Legal compliance: Building codes, permit applications, professional regulations - there's a lot of paperwork in this industry
  • Website improvements: Understanding how people use our site helps us make it better (and less annoying)
  • Newsletter updates: If you've signed up for it, we'll send occasional updates about sustainable design trends, completed projects, or green building innovations
  • Service improvements: Learning from past projects helps us deliver better results for future clients

Cookies and Tracking

Yeah, we use cookies - not the chocolate chip kind, unfortunately. They're small files that help our website remember you and work properly.

Essential cookies: These keep the site functioning. You can't really turn these off without breaking things.

Analytics cookies: Help us understand how people navigate the site. We use this data to improve user experience, not to track your personal life.

Most browsers let you control cookies through settings. Just know that blocking them might make some features wonky.

Sharing Your Information

We don't just hand out your info to anyone who asks. But there are some situations where we need to share it:

Project partners: Engineers, contractors, surveyors, Green Building certification bodies - the team we work with to bring your project to life. They only get what's relevant to their part of the job.

Legal requirements: If the law says we gotta share something (like for permits or compliance), we'll do it. We'll let you know if this happens, unless we're legally prohibited from doing so.

Service providers: Cloud storage, email platforms, project management tools - the tech infrastructure that keeps things running. These companies are contractually obligated to protect your data.

Business transfers: If Krythonverse gets acquired or merges with another firm (not planning on it, but you never know), your information would transfer to the new entity.

How We Protect Your Data

We take security seriously - probably as seriously as we take structural calculations. Here's what we do:

  • Encrypted data transmission (that's the little lock icon in your browser)
  • Secure servers with regular backups
  • Limited access - only team members who actually need your info can see it
  • Regular security updates and monitoring
  • Password-protected systems and two-factor authentication where possible

That said, no system is 100% foolproof. We do our best, but the internet being what it is, we can't guarantee absolute security. We'll notify you ASAP if there's ever a breach affecting your data.

Your Rights

Under Canadian privacy laws (we follow PIPEDA), you've got some solid rights:

Access

You can ask to see what personal info we have about you. We'll provide it in a readable format.

Correction

If something's wrong or outdated, let us know and we'll fix it.

Deletion

Want us to delete your data? We'll do it, unless we're legally required to keep it (like for tax records or completed projects).

Opt-out

Don't want marketing emails? There's an unsubscribe link in every newsletter, or just email us.

To exercise any of these rights, just reach out to us at info@krythonverse.info. We'll respond within 30 days.

Data Retention

We don't keep your information forever - that'd be weird and unnecessary. Here's our general approach:

  • Active projects: We keep all data while we're working together and for 7 years after project completion (Canadian tax and professional liability requirements)
  • Inquiries that don't convert: Contact form submissions and consultation requests get deleted after 2 years if no project moves forward
  • Marketing communications: As long as you're subscribed, or until you ask us to delete them
  • Website analytics: Aggregated data is kept for 3 years to help us track long-term trends

After these periods, we securely delete or anonymize your information. Some stuff we're legally required to keep longer for regulatory purposes.

Third-Party Links

Our website might link to other sites - maybe suppliers, Green Building councils, or industry resources. Once you click through, you're on their turf and their privacy policies apply. We can't control what they do with your data, so read their policies if you're concerned.

Children's Privacy

Our services aren't directed at kids under 13, and we don't knowingly collect their information. If you're a parent and think we've somehow collected data from your child, please contact us immediately and we'll delete it.

International Data Transfers

We're based in Canada, and most of our data stays here. However, some of our service providers (like cloud hosting) might store data on servers in other countries, including the United States. When this happens, your information is protected by contractual agreements and applicable privacy laws. By using our services, you're consenting to this transfer.

Changes to This Policy

We might update this policy from time to time - usually when laws change or we add new services. We'll post any changes here and update the "Last updated" date at the top. For major changes, we'll send an email to our clients and newsletter subscribers.

It's worth checking back occasionally, though we promise not to make sneaky changes that fundamentally alter how we handle your data.

Questions or Complaints

If something in this policy doesn't sit right with you, or you've got questions about how we handle your information, we genuinely want to hear from you. Reach out to:

If you're not satisfied with how we've handled your privacy concern, you've got the right to file a complaint with the Office of the Privacy Commissioner of Canada. But honestly, we'd prefer you give us a chance to make things right first.

That's the Long and Short of It

We respect your privacy because we'd want ours respected too. We collect what we need, protect it properly, and use it to deliver the sustainable architecture and urban design services you're here for. No shady stuff, no data selling, just straight-up honest practice.
